At present we use a table in our clients Quick Notes that tell us key information about various service that client uses so we can quickly identify what we need to troubleshoot. This includes things like Email Platform, License Provider, Signature Platform, Data Storage system, VPN Type, Phone Supplier, Internet Supplier etc.
As new projects arise to upgrade, migrate and move systems it would be nice to have an Activity Log for these quick notes. This would help us in case errors are made to the incorrect clients, track who made changes to locate corresponding projects and just generally ensure that anything added to the Quick Notes can't just be deleted and lost forever as it current is. Failing that even if we had something in place to archive old Quick Notes as we amend them.
At present we essentially take a complete copy of the Quick Notes and paste this into a separate KB within the client to ensure we have a backup of this information. But with over 200 clients it can be difficult and taxing to ensure everything is regularly backed up.
